Event Designer
NOTE: This position requires strong event industry experience and requires regular overnight travel and weekend availability.
POSITION SUMMARY
Our Designers take the lead on design & customization and approach their projects with the client’s investment at the forefront. The scope of work is diverse and encompasses room design, curating lounge, bar and cocktail environments, stage and perimeter design, custom fabrication and graphics, and interactive guest experiences. They manage and produce events from conception through completion while providing high-touch customer service. They are innovative thinkers, cater to all senses, and have a deep understanding the event landscape.
Responsibilities of our Designer includes but are not limited to:
THE HIVE
Ensure that Company standards are being met and that policies and procedures are being followed
Share any performance or disciplinary issues with manager
Assist with training and education for new and current employees
Attend bi-weekly one-on-one meetings with manager, to share information about workload, successes and challenges
SALES/NETWORKING
Explore future opportunities to help grow book of business
Represent and effectively communicate The Hive brand through engaging tours for potential and existing clients
Represent The Hive brand at event networking functions to gain awareness about the industry and to nurture client and industry partner relationships
Support company efforts in sponsored events, speaking engagements, networking events, and/or other opportunities on occasion
CLIENT MANAGEMENT
Day-to-day client communication regarding:
Professional and thoughtful email & phone exchange with clients leading up to their program
Attend client conference calls
Participate or initiate Pre-Cons/ Meetings to track the progress and lead up to client’s programs
Educate our clients on our products and services and how to achieve their goals within the budget they have allocated
Manage client contracts including all initial deposits and invoices ensuring agreements are accurate and executed accordingly
Event follow up with client to gauge success and close out all billing activities
EVENT DESIGN & LOGISTICS
Proposal & Design Curation which includes the execution of the event design either alone or co-designed with another designed
Deep understanding of the event landscape and how our part plays into the overall project
Attend client and venue site inspections as needed
Consults with Producer regarding labor needs, truck needs, and on-site logistical challenges during the design process
Extensive knowledge of venue or location for all logistics including load-in, set-up, tear down, exclusions/ restrictions, etc.
Ability to proactively brainstorm and resolve unfamiliar logistical details for all related information to the program
Prepare floor plans for client and vendor partners as requested
Manage the event turnover process ensure up to date information is shared with all parties in production
Attend and facilitate weekly Production Meetings with the production team to ensure a seamless transfer of information from sales to service
FINANCIAL MANAGEMENT & PROFITABILTY
Financial Management related to the event including preparing quotes and providing accurate and detailed program job costing for the production team
Responsible for achieving event profit margins at a rate equal to or above the company standards of profitability
Enter all event invoices into QuickBooks for client to provide payment
Collects payments from client and provides them with correlating paperwork
Works closely with vendor partners to receive pricing for their products and/or services
Prepare payments for subcontractors and plan with the Warehouse Manager for delivery and pick-up
Weekly / Monthly credit card statement coding and receipt submission to accurately record costs to a program and expenses to the company
Manage invoices including review of invoices and submission to accounting for payment when applicable
ONSITE
Serve as the client liaison the day of the event including providing day-of coordination between production lead, warehouse, venue manager, venue and client
Serve as the on-site contact for venue, planner and internal team for event execution
OTHER
Other duties as assigned

QUALIFICATIONS
Associates or bachelor’s degree in hospitality or another related field
At least 3 years of experience in the event industry
Strong design experiences
Strong organizational skills and ability to manage time effectively in a fast-paced environment
Meticulous attention to detail

PHYSICAL DEMANDS AND WORKING ENVIRONMENT
While performing the duties of this job, the employee is regularly required to talk or hear. This position will work in an office environment with travel to event locations and other domestic travel as needed. Must be able to remain in a stationary position for up to 75% of the time. The employee must occasionally lift and/or move up to 30 pounds. Specific vision abilities required by this job include close vision, and ability to adjust focus.
